How to prepare manual for translation

Create clear and easy to read manuals. If using Microsoft Word, try to use Show readability statistics.  Options > Spelling & Grammar > Show readability statistics - make sure the box next to it is checked.  An easy to read manual is easy to use and to translate.

 

Prepare a glossary of terms for the translator. Provide as much information as you can. This ensures that terms are translated consistently throughout the entire project and comply with industry standards. Use the document version control system. This way any changes can be tracked between manuals and their translated copies.

 

Translators always should adjust manuals to reflect localized date formats, currency, numbers and measurement systems. If your product uses Royal (feet, gallons) or Metric (meters, liters) systems, provide conversion tables.

Ask the translator and/or editor to comment on colors, wording, names of products and trade marks. Different countries and cultures have a different meaning of colors and other words. In some cases translation of your trade mark, service or product may “not sound right” in the target language and region.

Submit the manual for translation in an editable format such as Microsoft Word or Rich Text Format (RTF).
